Refund Policy

At Filings.ae, we are committed to delivering the services you engage us for. This Refund Policy sets out the circumstances in which refunds are available, the process for claiming them, and specific terms applicable to different categories of service. Please read this policy carefully before placing an order.

By making a payment, the client acknowledges that the service has been commissioned and that the terms of this policy apply. All invoices are issued and services are initiated upon receipt of payment.

1. General Principles

Filings.ae acts as a professional service provider and, in certain engagements, as an authorised channel partner or registered agent of a government authority or Free Zone. Refund eligibility varies depending on the nature of the service and the stage at which a cancellation or failure occurs.

Where Filings.ae facilitates a service through a third-party Service Partner, payments are held securely until the service is successfully delivered. Upon confirmed delivery, the payment is released to the Service Partner. In cases where the Service Partner fails to complete the service, a full refund will be processed to the client.

2. Refundable Services

A refund may be issued in the following circumstances:

  1. The service could not be completed due to reasons solely attributable to Filings.ae or its Service Partner, and no alternative remedy is offered;
  2. The client cancels the engagement before any substantive work has commenced, and no government or authority fees have been paid on the client's behalf;
  3. A duplicate payment was made in error by the client; or
  4. A government authority or Free Zone rejects an application and returns its fees, and Filings.ae's professional service component has not been rendered.

Refunds will be processed to the original payment method within 7–14 business days of approval, unless otherwise agreed in writing.

3. Non-Refundable Items

The following are strictly non-refundable under all circumstances:

  1. Government fees, authority charges, Free Zone registration fees, licence fees, visa fees, and any other statutory or regulatory charges paid to a government body or authority on the client's behalf;
  2. Third-party disbursements, notarisation charges, attestation fees, courier charges, and translation fees incurred in connection with the service;
  3. Professional service fees where the service has been partially or fully delivered, including the preparation of documents, submission of applications, or liaison with authorities;
  4. Fees paid for services where the client has provided incorrect, incomplete, or fraudulent information, leading to rejection or delay; and
  5. Any administrative, processing, or handling charges explicitly stated as non-refundable at the time of purchase.

Where a government authority or Free Zone partially refunds fees following rejection, only the refunded portion attributable to Filings.ae (net of any government-retained charges) will be passed on to the client.

4. Cancellation by the Client

Clients may request a cancellation by contacting Filings.ae at hello@filings.ae with the order reference and reason for cancellation.

If the cancellation request is received before any work has commenced and no fees have been disbursed, a full refund of the professional service fee will be issued.

If work has commenced or fees have been disbursed, refunds will be assessed on a case-by-case basis. Filings.ae will communicate the refundable amount, if any, within 5 business days of receiving the cancellation request.

Cancellation of an ongoing engagement (such as a retainer, annual compliance package, or renewal service) mid-term does not entitle the client to a pro-rata refund unless expressly stated in the service agreement.

5. Cancellation and Refund

If an engagement is not progressing as per your expectations, you may request a refund within sixty (60) days from the date of payment.

Before processing any refund, Filings.ae reserves the right to make a best effort to complete the service. In case you are not satisfied with the service, a cancellation fee of twenty percent (20%) of the service fee, together with any earned fee, government fee, filing fee, tax, third-party fee, or any other amount already incurred by Filings.ae in connection with the engagement, shall be deducted from the refund amount.

All refunds shall be subject to a minimum cancellation fee of twenty percent (20%). Any fees already paid to government authorities, free zones, licensing authorities, banks, third-party service providers, or any other external entities are non-refundable.

If a client wishes to change from one service to another within sixty (60) days of purchase, the value of the original service, less any earned fee and amounts already paid to government authorities or third parties, may be adjusted against the new service. Where the replacement service is of equal or greater value, the twenty percent (20%) cancellation fee shall not apply.

Refund requests must be submitted by email to uae@eql.global together with relevant transaction details. Approved refunds shall be processed to the original mode of payment and are generally completed within three (3) to five (5) weeks after receipt of all required information.

Delays caused by government authorities, free zones, licensing authorities, immigration authorities, regulatory bodies, or deficiencies in documents provided by the client shall not constitute grounds for cancellation or refund.

Filings.ae shall not be responsible for penalties, taxes, or costs incurred due to inaccurate information supplied by the client, nor for circumstances beyond its reasonable control, including government actions, system delays, or Force Majeure Events.

6. Service Delays and Force Majeure

Delays caused by government authorities, Free Zones, third-party agencies, or circumstances beyond Filings.ae's reasonable control (including regulatory changes, system outages, or force majeure events) do not constitute a failure of service and do not give rise to a refund entitlement.

Filings.ae will make reasonable efforts to keep clients informed of material delays and, where possible, provide an updated timeline.

7. Disputes and Escalations

If a client disputes a refund decision, the matter should first be raised in writing to hello@filings.ae within 30 days of the original refund decision.

Filings.ae will acknowledge the dispute within 2 business days and endeavour to resolve it within 10 business days.

This policy does not affect any statutory rights a client may have under applicable law in the United Arab Emirates.

8. Free Zone Vendor Transfer & NOC Requirement

For certain UAE Free Zone company incorporations, Filings.ae may act as an official channel partner or authorized service provider of the relevant Free Zone authority.

In the event that, during renewal, visa processing, amendments, compliance services, or any other future service requirement, the client chooses not to continue engaging Filings.ae and wishes to appoint another service provider or vendor, the relevant Free Zone authority may require a No Objection Certificate (NOC) or similar authorization to facilitate the transfer of servicing rights.

Where such an NOC is required, Filings.ae reserves the right to charge an administrative fee for processing and issuing the NOC. The applicable fee shall be communicated to the client at the time of the request.

This requirement does not restrict the client's right to appoint another service provider but reflects the administrative procedures imposed by the relevant Free Zone authority for transferring servicing arrangements from Filings.ae to another vendor.

9. Changes to This Policy

Filings.ae reserves the right to amend this Refund Policy at any time. Updated versions will be published on this page with a revised effective date. Continued use of our services after any amendment constitutes acceptance of the revised policy.

For services contracted prior to a policy change, the version of this policy in force at the time of contracting will apply.

This policy is governed by and construed in accordance with the laws of the United Arab Emirates. Any dispute arising out of or in connection with this policy shall be subject to the exclusive jurisdiction of the courts of Dubai, United Arab Emirates.
